The role of the Special Interest Group Committees

The committee leads and manages the CIBSE Special Interest Group (SIG).

Its members organise events, set the group’s direction, and make key decisions on behalf of their members. They oversee finances, plan activities, and represent the group at CIBSE Council meetings. Committee members are elected annually and work together to ensure the group runs smoothly, supports its members, and promotes best practice in building services engineering.

The committee is a team of volunteers elected by group members to lead and manage the Special Interest Group (SIG). They make sure the group runs smoothly, organises events, and represents members’ interests.

  • The committee must have at least six members, including four key roles: Chair, Vice-Chair, Treasurer, and Secretary.
  • The Chair, Vice-Chair, Treasurer and Secretary must be corporate members of CIBSE.
  • The other committee members do not have to be CIBSE members.
  • The committee can also co-opt (invite) extra members to help with special tasks, but these members cannot vote.

Officers and committee members are ratified at the AGM.

Prior to the AGM, the committee proposes a list of candidates, which is sent out with the calling notice to all members. This notice invites other members to put themselves forward.

“CIBSE corporate grades” is the collective term for Licentiate, Associate, Member, and Fellow.

All other grades are “non-corporate”.

This is set out in the CIBSE Charter and Bylaws and is subject to change by the CIBSE Board.

The committee meets regularly to plan activities and discuss group business.

Meetings are organised in advance, with an agenda sent out at least a week before.

The Networks and Engagement Team at CIBSE helps with administration, communications, and event planning.

CIBSE staff also assist with finances, bookings, and sending emails to members.

The committee is responsible for:

  • Planning and running events (seminars, webinars, workshops, and networking opportunities).
  • Sharing knowledge by organising talks, publishing articles, and supporting research. They will also support members of the group in making suggestions for new publications, training courses and discussions at CIBSE conferences.
  • Managing the group’s budget and making sure money is spent wisely.
  • Listening to members and acting on their ideas and feedback.
  • Representing the group at CIBSE meetings and to other organisations.

The Officers each have certain responsibilites: 

  • Chair: Leads the group and committee, runs meetings, and represents the group at CIBSE.
  • Vice-Chair: Supports the Chair and stands in when needed.
  • Treasurer: Manages the group’s money, prepares budgets, and keeps track of spending.
  • Secretary: Organises meetings, takes notes, and handles group communications.

The other members of the committee have more flexible responsibilites. They're the ones that execute the committee's objectives.

"Officers” is the collective term for the Group Chair, Group Vice Chair, Group Honorary Secretary, and Group Honorary Treasurer.

Only CIBSE members at the corporate grades are eligible to nominate themselves for these positions.

Non-Officer committee members are referred to as “Elected Members.” Any member of the Group, whether a member of CIBSE or not, is eligible for this position.

The committee tries to make decisions by agreement (consensus).

If a vote is needed, it is usually an open vote (not secret).

The Chair has the final say if there is a tie. If the Chair is unable to, the Vice-Chair is able to make the decision instead.

  • You can put yourself forward for election at the AGM.
  • If there are more candidates than places, members will vote.
  • If you’re not elected, you may still be invited to help as a co-opted member.

The committee makes sure the group is active, useful, and enjoyable for all members.

They help the group grow, share knowledge, and make a difference in building services engineering.

They represent members’ views and work for the public benefit, as required by CIBSE’s rules.
